To see that, I'll go here to the left and I'll click on permissions and I'll go down to permission groups. And if I do a search. I'll see. The permission groups that were created from my access request will take a further look at the different features of permission groups in a second. But first, what I want to do is I want to go back to permission groups as a whole and talk about creating a brand new permission group. So I'll go to the top and I'll hit ad group and I'll start by giving it a name and I use the same pattern we've been doing throughout this demo, my first permission group. Then I will select the permissions types and we'll go over each of these here. There's the user level for permission type, and here you can add someone's email address to the permission group to give an individual access. I'll demonstrate with two different emails so you can see differently what's happening. If it is someone who already has an Aviary account. Aviary will recognize it and I can click here and it would automatically add them to this permission group and they'll have access. However, if I had an email address that Aviary does not recognize, it would tell us that this user is not currently registered. And Aviary and if I click to add them, I'm going to ask me for the first name and then their last name. And the reason being is because this is what's going to show up and how Aviary is going to address them in the email now, Aviary is going to invite this user to create an average account that's going to be defaulted as turned on.","format":"text/plain"},"target":"https://aviary.aviaryplatform.com/collections/41/collection_resources/42201/file/114209#t=6.93,124.61"},{"id":"https://aviary.aviaryplatform.com/collections/41/collection_resources/42201/file/114209/transcript/29345/annotation/2","type":"Annotation","motivation":"transcribing","body":{"type":"TextualBody","value":"But you can go and you can unselect if you'd like. And now I have these users added to this permissions group. This one is already registered. This one's registration is pending, as you can see here, and I can remove anyone from the list. I can also bulk import a number of names through a CSV file, comma, separated file. And in doing so, I will put them here and they give you the format, insert the user email address. First name, last name. And once I do so. And within. bulk import a number of names, let's say you have a classroom students whose names you want to put in or a number of members of your organization that you would like to add permissions to. We'll take a look at that email that goes out to them in a few minutes. You can also select the permission type as an email domain. This would be anyone who has an email address ending in a designated domain name, for example, we can take a school, let's take Oakwood University. And so anyone who has Oakwood Dot edu at the end of their email address will be a part of this permissions group. So, for example, John at Oakwood Dot Edu. So you would put your organization's domain name here, so anyone with this email address ending in this domain who is registered in Aviary with that domain will be in this permissions group. Next, we'll see where we can set up permission through an IP here. This is the same as we looked at in the previous lesson about restrictions here. You're adding an IP address or an IP arrange to a permission group. Aviary just supports IP v4 for IP access restrictions. And you can apply this IP address restriction to a playlist, a collection and or a resource, this allows you to use this feature as granular as you want or as broadly as you like. Our next permission type would be SSO group, which stands for single sign on this would be for organizations that already have their own single sign on system. Aviary integrates with their single sign on, allows you to add your single sign on groups that you have already established in your single sign on system. I'm going to go back and I'm going to walk through this and I'm going to go back to user level for the sake of this demo, since this is the option most people use. From here, we'll look at permission granted. And most people go with a view to give access to simply view, edit gives you the ability to edit the resource or playlist or the collection. From here, I can go down to time period. And I can look at a number of time periods, ongoing means that they will have access indefinitely. If I go to fix, it is a pre-set period of time where you can pick the dates and even the time on a 24 hour clock. Now, I want to give them access to this as well, or I can do so by resources and I'll go over here to the right and I'll click on Manage Resource List. And from here I'll see all of my resources that are available here. And I can choose which ones to add to the list or I can go up to the top if you have many resources and I can search for my first resource. And I can add it to the list. And once I've done so now see all of the resources that I've added here below. From here, we'll go down and we'll hit save. And this takes us back to our previous screen, where we see all of our commission groups. And now I want to take a look at the email template that goes out, so I go here to invitation email template. And I select. Now, the email address is always going to be from no reply at every platform dotcom, however, the name you put here in this field will be the name that appears in their inbox for who the email is from. Here you'll see the email subject line again, you can put A, BCC to others in your organization who you want to receive a notification that this email was sent. And for the user whose email address was already registered inside of Aviary, this is what that email will look like, letting them know all of the things that they were given access to and their permission group. And for the user who was not already a member of a very. We'll see where it says Aviary invite. And I'll click on. And it will now let me know that I'm invited to view content in AVP's Aviary site or your organization's name will be here and I'll go down and I'll ask them to confirm their accounts, get access, and I'll click here to confirm my account. And it will give them the opportunity to come in and set up an aviary account to see where it asked me to put in their first and last name, and it has it for them here and they'll just come in and confirm a password and confirm account. And now they will have Aviary set up and they will be able to access your permissions group. You can also go back and edit your permissions group. So I'll search for my permissions group here. And I'll go here and if I had edit. I can change the time period, I can add or remove different people inside of the group, I can change the content that is available to be viewed and this permissions group.
