I'm going to go over those two now in the next two videos, we'll start with restrictions. There are two ways to look at the functions of restrictions and aviary. There's a reactive mode and there's a proactive mode. And example of a reactive view of restrictions would be when there was a request for access to the audio and or video file that you have in your aviary site and proactive would be creating and setting up permission groups. First, let's take a look at reactive would be someone requesting access and then you grant them that access the user would experience this when the publisher sets the resource to restrict it. And we'll walk through this. So what I'm going to do is I'm going to go into Aviary from an outside account that is not myself as the organization who I I'm at my first collection. And what I'm going to do is I'm going to go to my first resource, which we've been working with, and as you see here, when I want to click on it as a visitor, I have to request access to this resource. And so I'm going to go on and I'm going to request access. And as you see, I get the title. It asked what is my request category as a general interest publication, media project, thesis, dissertation, school assignment, exhibition or other. And I just got general interest and it's going to ask me to give a reason for accessing this media.","format":"text/plain"},"target":"https://aviary.aviaryplatform.com/collections/41/collection_resources/42200/file/114208#t=7.59,126.66"},{"id":"https://aviary.aviaryplatform.com/collections/41/collection_resources/42200/file/114208/transcript/29344/annotation/2","type":"Annotation","motivation":"transcribing","body":{"type":"TextualBody","value":"So I'll put a reason in and I'm going to submit that and once I submit that. This is your permission request has been successfully submitted, an organization administrator will contact you shortly. Now, a number of things have happened. I'm going to go back to the Aviary account that I am an administrator for and I'm going to show you the different things that have taken place behind the scenes. One of the first things we'll see is an email was sent and so I will navigate to my email and here you'll see from Aviary, new access requested. And when I open this email, you'll see, it'll say, Dear and your name will be here. You've received a new access request for my first resource and your first collection. And you can view, accept or deny this request and the permissions tab and Aviary, which we'll look at in a second. For the user, the same thing has happened as well with an email. So I'll navigate as the user requesting access to my email inbox and you'll see here a similar message you have requested access. The organization administrator for that collection will get in touch with you shortly. And so this is what the user who is requesting access to your media will see. Also, as the requestor when I'm in aviary, I can go to the top right hand corner and hit the drop down menu and I can see all of my access requests here. When I click on. I can now see the video that I've requested access to and view, if my request has been granted or not, and then view the resource if access has been given. There are other ways to set up restrictions access and Aviary as well. But I'll go back and I'll change that view to public. But what I'll do is I will. Now, we'll hit next and then I'll manage the media and I'll click on manage media info here at the top. And I'll go down and I'll say no for the media being public. And now will update. And I will save. Then I'll go to transcripts. And I'll hit our menu here on the right. And I go down and select update this transcript. And I'll go down to public and I will hit No. And then I'll update. Once this is successfully been updated, I'll go back to my view of Aviary is not an organizer. And I'll refresh my page. And now we'll see that this resource is no longer asking for an access request, and I'll click on. But when I'm here, I'll see that watching the resource itself, I have to request access and it'll look the same and I can go in and I can put in another request. And then again, give me the same message. And I can also now go to the transcript and now see that the transcript request is the same as we've seen before. I can go and I can request access to this transcript as well. And I'll get the same message. An example of a reason why you would want to make the media of a resource private or just the transcript of a recent private would be you might want someone to be able to see the metadata or you might want to make the transcript publicly available, but have them request access to the media.","format":"text/plain"},"target":"https://aviary.aviaryplatform.com/collections/41/collection_resources/42200/file/114208#t=252.44,409.8"},{"id":"https://aviary.aviaryplatform.com/collections/41/collection_resources/42200/file/114208/transcript/29344/annotation/4","type":"Annotation","motivation":"transcribing","body":{"type":"TextualBody","value":"Another example of this would be if I would go to Queen's public libraries aviary page. And I will select this collection here, hip hop in Queens. Then I go over to this interview here. And once I'm here, I'll see a number of files within this resource. There are a number of previews of this interview that are able to be accessed and viewed publicly. But if I want to see the entire interview, I would need to request access to do so. If I go back to my inbox, you'll see. Again, I've asked for a request to embedding the video there. And I'll still get another confirmation email for request for the transcript as well. If I go back to this inbox. I will see the new request. That have come in as well. Now, let's take a look at the permissions tab inside of Aviary and see how to grant or deny access to these requests. So I'll navigate to Aviary and on the left, I will go down to my permissions tab. And I'll go to access request. And what I would do when I'm here is I will go to date of request. And have the most recent come up to the top. This is helpful if you have many resources and you get many requests in your aviary account and I'll see the few that I just did, I requested access to embedding to my first resource, as you'll see here. And I can go in and I can view that request. And I can see who was requesting the reason that they typed in for why they are requesting and I can accept or deny right here. What is it that they are requesting access to? And by clicking on, it will take me to that resource, this is helpful if you have many, many resources inside of you, your Aviary account. So I'll go back and I'll once again sort by date of request. And I will go ahead and I will grant access by accepting. And then I'll also go to the other, and this one I'll deny. And I'll give a reason for denial, and I'll hit send. And now let's go back to the inbox of the user who's not a part of your organization and take a look. And we'll see that access was requested. And you'll see here your access to and it would name what they were requesting access to has been granted and they can click on this link and it will take them to the resource that they requested access to. Or if I go back to my. Inbox, I can see that access has been denied and it will give them the reason for my denial and let's say they don't have a membership or they are not a part of the group to whom access is being given. And now when I go back to Aviary, I go to the top right hand corner and click on my name and I'll go to my access request. And I'll see that I have one where access was accepted and I have one where access was rejected. And that was access restrictions at the resource and even the sub resource level, there's also access at the collections level. So I'll navigate back to my account as an organizer. And I'll go to collections here on the left. And once I'm here, you'll see a number of things that we'll walk through first, you'll see a list of managers who will get the email notification whenever someone request access to your content in aviary and you can edit and add to this list of managers here and everyone on this list will get the email. And I was able to give permission for access. From here, you see an option where it says enable click through functionality for access to private resources in this collection. An example of this is one we're probably all familiar with. This is where someone has to read and agree to your terms and conditions before they are able to access. And I'm sure you've been online and you are possibly signing up for a website or a membership to something, and you have to go down and read through everything and click a box that says, I agree, this would be an example of that. So it might have some general things like if you want permission to do this, you can't reuse it. You have to agree that you won't rebroadcast it to a public audience without permission. Or maybe you'll only show this to classroom settings and you have to get permission to show it outside of a classroom or so forth. But you can go here and you can check this box and then you can put what conditions you want to be agreed to before they are given access and they have to check. I agree. That email can be set up as dynamic variables as you can see here and here at the different variables that you can use or you can set it up as plain text. This email is already built for you and there's no need to make any edits or changes. However, you have the ability to make any adjustments that you would like. Here you'll find another feature, enable automated access, request approvals for this resource in this collection. And if you were to check this with this feature, you can have access be granted automatically after they had agreed to your terms as we looked at before. However, with this feature, you will not have to manually approve every access request yourself. But once they agree, they will then have access. You can even set the period of their access. Will they have ongoing access? Will it be for a fixed period of time, like a date? It would be for a duration of time. From here, you can edit who this email where they're requesting access will come from. You can edit the subject and you can choose who in your organization will also be BCC'd on these emails or request. Next, you'll see our global access restriction section with this, you can also restrict access to a collection, to an IP address or an IP range. An example of this would be a specific router or a number of routers.
